VLC Agreement

1. Parties Involved

This agreement is made between Active Home Education Institute, the parent/guardian(s), and the student.

2. Purpose of Agreement

The purpose of this agreement is to outline the expectations and commitments of Active Home Education Institute, the parent/guardian and the student to ensure a productive and successful virtual academic experience.

3. Expectations from Active Home Education Institute

Active Home Education Institute commits to:

  • Offer daily support through regular communication with both students and parents, including timely responses to inquiries and concerns.
  • Daily planning via Monday.com. (Parents & student have access to this.)
  • Assess and monitor student progress, providing regular feedback and reports to parents.
  • Monitor the student's attendance and engagement during sessions.
  • Offer constructive feedback on the student's performance and address any academic or behavioural issues that arise.
  • Create a safe and productive virtual learning environment by enforcing the platform's guidelines and rules.

4. Expectations from Parent/Guardian

The parent/guardian agrees to:

  • Encourage and support the student in their educational journey by providing a conducive learning environment at home with no distractions.
  • Daily check the student's progress and communicate with facilitator about any concerns or questions.
  • Ensure the student attends daily from 8:00am until 2pm and completes homework on time or as communicated.
  • Supply necessary technology e.g. camera, microphone and laptop and stable Wi-Fi to facilitate the student's online learning.
  • Maintain open communication with the facilitator regarding any issues that may impact the student's learning experience.
  • Parents must inform the facilitator in advance if the student will be absent or late for any session. Complete the absentee form (on Parent TEAM tab).

5. Expectations from Student

The student agrees to:

  • Attend Virtual Learning Centre meetings punctually and remain logged in for the day. Participate actively and complete all assignments and projects on time.
  • Demonstrate respect towards teachers and facilitator, adhering to the Institute's code of conduct.
  • Communicate any challenges or difficulties faced in their schoolwork to the facilitator promptly.
  • Manage time effectively and maintain self-discipline in completing independent revision and homework by the given deadline.
  • Update Monday.com (Planning Chart) constantly throughout the day.
  • All quizzes and tests must be done in VLC or VTR.
  • Inactivity on screen — Not allowed.
  • It remains the student's responsibility to get the work done.

6. Academic Honesty Policy

  • The student must always adhere to the Academic Honesty Policy.

7. Technology Use and Digital Etiquette

  • Students are expected to use the provided technology tools responsibly. This includes focusing on the learning activities and avoiding distractions such as gaming or social media.
  • All virtual interactions (chats, discussions, etc.) must be respectful. Offensive language or behaviour will not be tolerated.
  • Misuse of the platform or inappropriate online conduct will lead to disciplinary action.

8. Behaviour Expectations

  • Disruptive behaviour or violation of the learning centre's code of conduct may result in disciplinary measures, including warnings, removal from sessions, or suspension.

9. Failure to Communicate Challenges or Issues

  • If the student does not communicate academic or technical challenges, or respond to messages, resulting in a negative impact on their performance, a meeting with the parent and facilitator will be arranged to identify the issue and put solutions in place.
  • Failure to respond to any communication will result in the SwitchedOn platform being temporarily blocked until contact is made.
  • Attendance Issues: The parent will be notified immediately and reminded of the attendance requirements.
  • Failure to Submit Assignments on Time: The parent will be notified via Teams and Monday.com.
  • Inappropriate Technology Use or Misconduct: The parent will be notified via Teams immediately.

10. Consequences for Non-Compliance

If the student fails to meet the expectations outlined in this contract, the following steps will be taken:

  • First offence: A verbal warning will be issued.
  • Second offence: A meeting with the student, parent, and facilitator will be held.
  • Third offence: Suspension or removal from the virtual learning centre may occur.

11. Communication Protocol

  • The student, parent, and facilitator will maintain open communication through the Student's TEAM.
  • The facilitator will respond to messages within 24 hours, and parents are encouraged to address any concerns promptly.

12. Termination of Agreement

  • This agreement may be terminated by either party with a 30-day written notice emailed to natasha@activeschool.co.za.
  • In case of any breach of terms by the student or parent, Active Home Education Institute reserves the right to terminate the agreement immediately.
  • For an excellent result, we recommend a minimum period of three months. This will ensure that the student gets full benefit from the Virtual Learning Centre.
  • Once the agreement has been terminated the student cannot attend the VLC within the next 6 months.

13. Acknowledgement and Acceptance

By completing and submitting this form, all parties acknowledge that they have read, understood, and agree to abide by the terms and conditions outlined in this agreement.
